Senior Office Manager

Budapest studio is up and running, and we are currently looking for a Senior Office Manager to take care of the smooth-running of the office, create and maintain a pleasant work environment while ensuring high levels of organizational effectiveness, communication and safety.

Job responsibilities:

  • Organize and control all administrative processes, ensure the smooth running of the office

  • Represent the interests of the company and actively resolve office-related issues with third-party organisations that do not require the direct involvement of the management

  • Manage administrative staff (office managers, technical staff, cleaners, drivers, couriers, secretaries, corporate travel specialists)

  • Develop and streamline operating procedures and policies in the office

  • Develop and maintain company transport policy (develop requirements for the technical conditions of transport, liaise with vendors/service providers, arrange maintenance and repairs, finalize rules and regulations, taking into account local specifics, etc.)

  • Manage company premises (perform property market analysis, prepare/amend necessary agreements, cooperate with third parties and vendors)

  • Prepare, monitor and follow budgets; control expenses that apply to office maintenance, organisation of workplaces, planning of office space.

  • Organize office infrastructure (order supplies, manage security, maintenance, internet, insurance, cleaning services, etc)

  • Organize catering (food delivery, tea/coffee/water/snacks, etc)

  • Organize maintenance, repair and storage of video equipment

  • Organize corporate events (Christmas & New Year celebration, anniversary of the company, etc).

  • Provide instructions for the company's employees on general safety, labor protection, fire safety etc.

  • Take part in projects and initiatives related to the Budapest studio

  • Update senior executives and liaise with a variety of internal stakeholders

Candidate requirements:

  • 3+ years of experience in Office Administration

  • Excellent organizational and leadership skills

  • Process improvement and optimization skills

  • Outstanding communication and negotiation skills

  • Change and conflict management skills

  • Understanding of all business functions

  • Problem-solving aptitude and proactive approach

  • Strategic planning and prioritization skills

  • Ability to work within tough deadlines in a multitasking environment

  • Fluent in English and Hungarian
